Process Steps for Paper Submission

Step No. 1 – Submission of Extended Abstract (Deadline – 30th May 2009 )

The extended abstract should not be longer than 1000 words, in Times New Roman 12-point font size, single line spacing. While writing the extended abstract, ensure that your ideas are well thought out and follow a logical, coherent flow. State the issue to be discussed; give a brief background to the issue; brief description of what you are doing about it; state the implications/outcomes of why is what you’ve done important.

Ensure that the extended abstract relates to the conference theme in a ‘real’ and not contrived way; an interesting and catchy title helps; limit amount of references cited in extended abstract; use only if essential to support your argument. Ensure you include your name, title, organisation and contact details, including phone, fax, street address and e-mail.

Finally, remember that your extended abstract serves two purposes. To interest and intrigue the committee so they will select it; to introduce/outline your topic for the conference compendium.

Step No. 2 – Review / Recommendation (Deadline – 31st Jul 2009)

The Editorial Committee will arrange to have the extended abstracts reviewed by an expert team of advisors. The recommendations made by the expert team will be advised to the author for carrying out necessary changes to the paper and requesting submission of the full paper. Some papers that are judged to have limited merit may be accepted as short papers or “poster papers”, with up to four pages in the proceedings.

Step No. 3 – Submission of Full Paper (Deadline – 30th Sep 2009 )

Authors are required to submit the full, revised and corrected papers to the Coordinator of the Editorial Committee. Authors not interested in submitting full papers after revision may advice the Editorial Committee to publish only their reviewed and corrected extended abstracts.

Submitted papers should report on original, previously unpublished work not being concurrently considered elsewhere for publication in a journal or conference. Every author is responsible for his/her paper. He/she should therefore ensure that the correct procedures for authorisation of publication or for the use of any material possibly protected by authors’ rights have been followed.

Selected papers will be assigned an ISBN Number and published in the conference compendium to be released at the inauguration. At least one author of each accepted paper must register, attend the conference and present the paper.

Step No.4 - Submission of Poster Paper (Deadline – 31st Oct 2009 )

A poster shoud be informative, attractive, well organised and self explanatory. Present a few major findings, its significance and implication; do not overwhelm the audience with data or explanations. The discussion should give the interpretation and significance of the results. Try to give the viewer one or two important conclusions to take away from the session. The following specific points may help you in your planning.

Size : Use standard 30" x 40" (76 cm x 102 cm) posterboard, with the 30" (76 cm) edge along the top and bottom.

Text : Give a brief (50 words) introduction stating very clearly the purpose of the study followed by materials and results. Minimize words while maximizing visuals. End with a brief (50 words) conclusion clearly highlighting the major findings, its significance and implications.
Colours : Use no more than three. Good two-colour combinations are, black on white, black or yellow, black on pink, dark blue on white and dark blue on yellow. Dark colours on a light background is easiest to read.
Illustrations : Photographs and graphics should be 5" x 7" (13 cm x 18 cm). Captions and labels on diagram and graphs should be readable from 2 metres distance and not be cluttered with unnecessary details. Diagrams and graphs should have no more than two lines in contrasting colours. Use of only one vertical scale per graph is preferable to tables.
